Addendum: Generative AI
Use of AI for RFP Generation
When you submit the dynamic form, the information you provide is processed by a generative‑AI service hosted on Google Cloud (or another third‑party provider). You are warned to not provide PII. The AI uses the payload solely to produce the requested RFP content. Once the response has been generated, we do not retain any of your original input beyond a short period (see “Retention” below).
Legal Basis
We rely on our legitimate business interests and contractual necessity (to deliver the RFP service) as the legal basis for sending data to Google.
Third‑party AI Services – We send anonymized user input to a generative‑AI service provider (currently Google Cloud) for real‑time processing. No personally identifying information is shared with that vendor; however, the anonymized payload may still be processed in a manner consistent with the vendor’s own privacy practices.
For the AI‑generation workflow, all user input is deleted immediately after the RFP response has been generated and returned to you or us. The results are kept with our host for 72 hours. We keep only minimal server logs (e.g., timestamp, request ID) for a maximum of 30 days for troubleshooting purposes. We also keep the results of the AI for providing you with a proposal in email indefinitely (deleted at our discretion) but we do not retain your direct inputs.
